- Account & Contact Details: Full name, email address, telephone/WhatsApp number, and account credentials.
- Statutory Identification: South African 13-digit ID numbers, foreign passport numbers, citizenship status, and certified ID/passport copies required by regulatory bodies.
- Company & Enterprise Details: Proposed company names, enterprise registration numbers, business addresses, nature of business, director particulars, and shareholder allocations.
- Uploaded Supporting Documents: Certified identification copies, power of attorney or mandate declarations, proof of residence, or existing CIPC registration certificates (COR14.3, COR21.1, etc.).
- Payment Data: Payment confirmations and transaction references generated when checking out via our secure payment gateway partner, Paystack.
We only request information strictly necessary to fulfill the legal or regulatory lodgement you instruct us to perform.
2. How We Use Your Information
Your personal information is processed solely for lawful purposes, including:
- Filing company registrations, name reservations, beneficial ownership, and annual returns with CIPC.
- Applying for Tax Compliance Status (TCS) PINs, Registered Representative updates, and tax services with SARS.
- Processing CIDB, COIDA, and CSD registrations with relevant governmental authorities.
- Verifying applicant identity and compliance prerequisites to prevent regulatory rejections.
- Communicating status updates, certificates, and statutory notifications via email and WhatsApp.
- Fulfilling customer support requests and providing billing receipts.
3. Third-Party Services & Disclosures
We do not sell, rent, or trade your personal information to third parties. We share data only with authorized regulatory bodies and necessary technical service providers:
- Regulatory Authorities: The Companies and Intellectual Property Commission (CIPC), South African Revenue Service (SARS), Department of Employment and Labour (COIDA), and the Construction Industry Development Board (CIDB) as required by law to execute your service.
- Authentication & Cloud Infrastructure: We use Google Cloud Platform and Firebase Authentication for secure identity management and protected application data storage.
- Payment Gateway (Paystack): Online card payments and EFT transactions are processed securely through Paystack Payments Ltd. SwiftCIPC does not store full debit/credit card numbers or CVVs on its servers.
- Transactional Communications: We use Resend and official WhatsApp Business APIs to deliver statutory documents, OTP verification, and status confirmations.
4. Cookies, Tracking & Choice
We utilize essential cookies and browser storage to maintain secure logins (Firebase Auth), remember pricing preferences, and autosave registration wizard drafts to prevent data loss.
Non-essential advertising and analytics scripts (such as Google Ads conversion tracking) are controlled by our Cookie Consent System and are disabled by default until you grant explicit consent.

5. Data Security & Retention
We maintain appropriate administrative, technical, and physical security safeguards to protect your personal information against unauthorized access, loss, or misuse:
- 7-Day Post-Completion Purge: Once a service is finalized and certificates are delivered, uploaded statutory documents and identification files are retained for 7 days to resolve any immediate client queries or CIPC requisitions, after which they are securely purged from operational file storage.
- Statutory Records: Financial invoices and order transaction references are retained in accordance with South African tax and corporate statutory retention requirements.
- Encrypted Transmission: All communications between your browser and our platform are encrypted using modern Transport Layer Security (TLS/HTTPS).

Under applicable South African data protection legislation (including POPIA), you have the right to:
- Request confirmation of whether we hold personal information about you.
- Request access to or copies of your personal information.
- Request correction, amendment, or deletion of inaccurate, irrelevant, or unlawful records.
